Everything you need to know about running CRNA admissions on SynesthesiaApply.
Onboarding
How much does it cost?
Free, forever. Schools pay $0 — no SaaS fee, no setup cost, no per-applicant surcharge. The platform is funded by a flat $45 application fee paid by applicants at submission, which is paid to SynesthesiaApply (not pooled with your fees). Your school never receives an invoice and never shares revenue.
Why is the fee the same at every school?
Predictability for applicants. They can apply to the right schools without comparison-shopping fees, which broadens the applicant pool you receive. Top schools and emerging programs are on equal footing.
Can we waive the fee for specific applicants?
Yes — fee waivers are unlimited and free to issue. Use them for hardship cases, recruited candidates, or pipeline initiatives. Issue a waiver from the application detail page; the applicant pays $0 at submission and your school still owes nothing.
How do we get started?
Email hello@synesthesiaapply.com to schedule a 30-minute kickoff. We'll provision your tenant, walk through branding, and import your first cohort. Most schools are live in < 1 week.
What's a tenant?
Your school's isolated workspace. Branding, programs, cohorts, applicants, and staff are scoped to your tenant. Applicants you receive can have applied via SynesthesiaApply directly or imported from elsewhere.
Can multiple staff use the same account?
No — every staff member gets their own login with role-based permissions (Org Admin, Coordinator, Reviewer, Interviewer). Add staff under Settings → Staff & Roles.
Cohorts & application templates
How do I create a new cohort?
Go to Cohorts → New Cohort. Specify cycle year, deadlines, fee, and the application template version. You can clone last cycle's settings to skip the setup.
What's a template version?
Application templates are versioned at the program level so you can change supplemental questions year-over-year without breaking last cycle's applications. Lock the version once a cohort opens.
How do supplemental questions work?
Add questions in Programs → [Program] → Templates → Sections + Fields. Supplementals are independent from the universal applicant profile — applicants answer them per program.
Pipeline & review
What's the kanban pipeline?
A drag-and-drop view of every applicant grouped by status (Submitted → Under Review → Interview → Decision). Bulk-select rows and bulk-move statuses with one action.
How are reviewers assigned?
Auto-assign distributes applicants across reviewers using a workload-balanced algorithm. Manual reassignment is always available from the application detail page.
What's reviewer calibration?
Calibration analytics shows how each reviewer's average score and variance compare to the cohort. Helps catch outlier reviewers before decisions land.
Integrations
Can we sync to our SIS / CRM?
Yes — outbound webhooks fire on every application event (created, submitted, decision). Each delivery is HMAC-SHA256 signed. Configure under Settings → Webhooks. Failures retry with exponential backoff up to 24 hours.
Do you support SSO?
Yes — SAML SSO and SCIM provisioning available on the Scale plan. Lower tiers use email + password with optional MFA.
Where do I configure email templates?
Settings → Email Templates. Every transactional email (welcome, status update, decision, fee receipt) supports your branded copy + HTML.
Compliance & data
Are you FERPA compliant?
Yes — applicant FERPA consent is captured before submission, with version + timestamp + IP recorded. Audit log retains every staff action. Configure your school's specific FERPA terms text under Settings → Compliance.
How long is data retained?
By default we retain applicant data per FERPA — you can set tighter retention windows under Compliance settings. Audit logs retain for 7 years.
Can applicants delete their data?
Submitted-application data is retained per your retention policy. Applicants can withdraw drafts and request profile deletion via privacy@synesthesiaapply.com.
